Administrative Assistant, Office of the President
REPORTS TO: Executive Assistant
Assist in the overall daily management of the President's Office
Primary Responsibilities/Activities:
- Support the Executive Assistant in the overall management of the President's Office
- Answers telephone and provides information and assistance or routes calls as appropriate
- Opens, date stamps, sorts, and distributes both electronic and standard mail
- Greets visitors to the office and directs them to appropriate individual/s
- Maintains institutional fax machine and route faxes to appropriate individuals
- Composes routine correspondence and memoranda
- Manages and updates databases and mailing lists
- Monitors and orders office supplies to ensure proper inventory
- Maintains confidential filing system and retrieve files as requested
- Assist with coordination and preparation for regular and special meetings and events
- Updates Board of Trustee mailing and committees lists
- Assists in updating and maintaining Board of Trustee manual
- Prepares and distributes Board of Trustee meeting materials
- Assists with maintaining President's day-to-day calendar as well as coordination of domestic and international travel arrangements and expense reports
- Occasional early morning, evening and weekend work required
- Performs other related duties or special projects as directed
Qualifications:
- Degree and/or equivalent related work experience
- 3–4 years work experience, preferably in a nonprofit environment
- Excellent verbal and written communication skills
- Proficient in Microsoft Office suite
- Bright, energetic, well organized and detail-oriented
